Schedule Reports in CMS

This page provides instructions for scheduling reports in CMS, including creating a new request, copying a request, and defining and saving a report schedule.

New Request

Refer to the Reporting section of the System: Commitment Management System (CMS) page for more information about CMS reports.

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Click SU CMS USER

  1. Select Reports tab from the Reports screen
  2. Select View Previously Run Reports button
  3. Select Submit Request
  4. Search and select or enter Program Name: XXDL: SC Schedule CMS Reports
  5. Enter customized Request Name The Request Name can be used later to search for this request in Copy Request. Refer to the Copy Request tab on this page.
  6. Select Next

a. Select at least one account (PTA) parameter:
My Favorites

Select the favorite for which you want to submit the report

PI/Task Owner

Select the PI/Task Owner for which you want to submit the report

Task Org

Select the Task Org for which you want to submit the report

Task Manager

Select the Task Manager for which you want to submit the report

Project

Select the Project for which you want to submit the report

Task

Select the Task for which you want to submit the report. This option will be enabled only after selection of a Project (5)

Award

Select the Award for which you want to submit the report

PTA Nickname/PTA

Select the PTA/PTA nickname for which you want to submit the report
You have to search and select either the PTA (if no nickname has been set up), or the PTA nickname, in order to activate the "PTA Period" parameter as described below.

Select other parameters, if desired:
•  PTA Period: Select the PTA Period for which you want to submit the report. This option will be enabled only after selection of PTA Nickname/PTA (see above)
•  Commitment Type (CMS or Hard)
•  Budget Type (hard or soft) from the drop-down menu

b. Select at least one report in order to successfully submit a report request:
710: Account Balances None

Report will not be selected to run

  • PDF – Report selected to run with "PDF" (see above: PTA Nickname/PTA) as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
720: PTA Overview
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
720: Rollup Level

Required if 720: PTA Overview is selected with any

  • 2 – SuperGroups Only: Direct vs Indirect
  • 3 – Group Subtotals Only; no Exp Types
  • 4 – Group and Subgroup Totals only; No Exp Types
  • 5 – Expenditure Types w/ Group Subtotals
  • 6 – Expenditure Types only; no Groups or Subtotals
720: With

Required if 720: PTA Overview is selected with any output option other than "None"

  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
750: Person Commitment Detail
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
760: Month-by-Month FTE Commitments: by Person
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
770: Month-by-Month FTE Commitments: by PTA
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
780: Month By Month Salary/Student Aid Commitments: by Person
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
790: Month By Month Salary/Student Aid Commitments: by PTA
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
760/770/780/790: Start Period

Select the Start period for the SC760, 770, 780, 790 reports. End Period will be automatically selected in the background

800: Month By Month Burn Rate: by PTA
  • None – Report will not be selected to run
  • PDF, XLS (Report format) or XLS (Data Only) – Report selected to run with " Excel" as output
800: Rollup Level

Required if 800: Month By Month Burn Rate: by PTA is selected with any output option other than "None"

  • 2 – SuperGroups Only: Direct vs Indirect
  • 3 – Group Subtotals Only; no Exp Types

  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
820: PTA Notes
  • None – Report will not be selected to run
  • PDF – Report selected to run with "PDF" as output type
  • XLS (Report format) – Report selected to run with "XLS (Report format)" as output type
  • XLS (Data Only) – Report selected to run with "XLS (Data Only)" as output type
820: Notes Level

Required if 820: PTA Notes is selected with any output option other than "None". Default option "1 – ALL"

  • 1 – ALL
  • 2 – P-T-A
  • 3 – Soft Budget
  • 4 – Custom Period
  • 5 – Soft Commitment
  • 6 – Employee
  • 7 – Student
  • 8 – Alerts

c. Select Next

  1. Select New Schedule, or Saved Schedule (refer to Define & Save a Report Schedule tab on this page) from the Schedule Request: Schedule screen
  2. Simple Schedule
    1. Enter Start Date
    2. Apply Interval and increment date for Recurring schedule
  3. Advanced Schedule
    1. Select Start date/time
    2. Select End date/time
    3. Specify recurring months/dates, and increment dates
  4. Select Next

  1. Enter email address for individual(s) to receive notifications of scheduled requests from the Schedule Request: Notifications screenReport originator automatically receives notification.
  2. Select Next

  1. Select all default parameters from the Schedule Request: Delivery screen
  2. Select Next

  1. Review report parameters and scheduling options from the Schedule Request: Review screen
  2. Select Submit
  3. Select Next
What Happens Next?
  • An email will be generated when the scheduled requests begin, with Request IDs of reports selected to run.
  • From the Requests Summary Table, select reports to view or save.

Copy Request

Refer to the Reporting section of the System: Commitment Management System (CMS) page for more information about CMS reports.

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Click SU CMS USER

  1. Select Reports tab from the Reports Screen
  2. Select View Previously Run Reports button
  3. Select Submit Request
  4. Select Copy Request radio button
  5. Search for and select existing (previously submitted) request
  6. Enter customized Request Name It is recommended to create Request name to facilitate future search.
  7. Select Next

  1. Retain or modify the accounts (PTAs) and report parameters from the Schedule Request: Parameters screen
  2. Save the request with a different name if you modify the previously submitted report parameters

  1. Retain or modify scheduling options from the Schedule Request: Schedule screen
  2. Select New Schedule, or Saved Schedule (Refer to the Define & Save a Report Schedule tab on this page)You may want to save the request with a different name if you modify the previously submitted schedule options.

  1. Enter email address for individual(s) to receive notifications of scheduled requests from the Schedule Request: Notifications screenReport originator automatically receives notification.
  2. Select Next

  1. Select all default parameters from the Schedule Request: Delivery screen
  2. Select Next
What Happens Next?
  • An email will be generated when the scheduled requests begin, with Request IDs of reports selected to run.

Define & Save a Report Schedule

Refer to the Reporting section of the System: Commitment Management System (CMS) page for more information about CMS reports.

  1. Enter ofweb.stanford.edu in the browser
  2. Click Login
  3. As prompted, log in using SUNet ID and password

  1. Click SU CMS USER

  1. Select Reports tab from the Reports screen
  2. Select View Previously Run Reports button
  3. Select Submit Request
  4. Select Manage Schedule
  5. Select Create

  1. Retain or modify the accounts (PTAs) and report parameters from the Schedule Request: Parameters screen
  2. Enter schedule name
  3. Enter schedule description (optional)
  4. Simple Schedule
    • Specify Start date/time
    • Specify End date/time
    • Apply increment interval for recurring schedule
  5. Advanced Schedule
    • Specify Months and Dates or Days of the month
  6. Select Apply
  7. Select OK
Additional Information
  • Use this schedule by selecting the Saved schedule on Schedule Request screen.
