Dear Colleagues:
I hope you enjoyed the winter break and found it an opportunity to relax and enjoy time with your loved ones.
Many of you have pointed out that early notice of the winter break dates is very useful in helping employees plan for this time off. Winter break for 2008 will run from Monday, December 22, 2008 through Friday, January 2, 2009. During this time, the following dates have been designated as University holidays:
Wednesday, December 24, 2008
Thursday, December 25, 2008, and
Thursday, January 1, 2009
Except where operations must continue, all areas of the University are asked to close during this two week period. For areas that close for the entire period of December 22, 2008 through January 2, 2009, the University will provide one (1) additional day off with pay. The additional day off with pay may be taken on any normal workday during the close period that is not an employee’s regularly scheduled day off or a designated University holiday. For the other regular workdays during close period that are not designated by the University as holidays or a paid day off, employees may use accrued vacation time, any available PTO, approved time off without pay, or any combination thereof. All departments are asked to administer time off during this week in a consistent fashion, and not to award University paid time off for other dates.
Any decision to keep a department open must be approved by the Dean, Vice President or Vice Provost overseeing the department. Employees in departments that do not close for the entire period will not receive an additional paid day off. In those rare cases where operations require that some employees remain on duty in a unit that is otherwise closed, the Dean, Vice President or Vice Provost has the discretion to approve an alternative paid day off for those employees who are required to work for operational reasons.
Please communicate the plans for your departments to all employees as soon as possible so that they may make appropriate plans for the use of their vacation and PTO.
However, if any of your employees are covered by a collective bargaining agreement, please consult with David Jones, Director, Employee and Management Services, (dajones1@stanford.edu) about additional notification requirements before you communicate winter close plans.
